What starts as a convenience can quickly turn into a clunky, restrictive setup, which is impossible to scale. So what’s the solution?
As Alisdair Luxmoore explained, embracing a modular tech stack is the key to creating a flexible setup that works with you, not against you. That means using the best tool for each job, and backing systems that are API-first, allowing them to seamlessly connect together and share data.
Andy Headington offered a powerful solution to an issue most travel companies face – making sense of their marketing efforts. Tour operators often invest in tools like Google Ads, but when it comes to assessing what’s working (and what isn’t!) it becomes a grey area. The fix? Linking your CRM to your website via an API integration could be the key to understanding where your best leads are coming from, which of your ads are the most successful, and what you could do better to drive business.
Using a basic ID integration, information about your inquiries could be captured from both your booking system or CRM and Google Analytics, including the value of your bookings, marketing source and user devices. These data sources can be connected for smarter reporting, providing a clearer picture of what’s driving results. No more guesswork – just clear-cut insights that tell you where to invest your marketing budget.
Ronan Gay from Black Tomato shared the steps the luxury travel company are taking to modernise their travel tech setup. He discussed their use of technology – where it’s helping them and where it’s holding them back.
As part of their marketing efforts, Black Tomato have faced a big roadblock; relying on systems that don’t connect with each other. The team uses Google Ads to target high-value audiences, but syncing their audience lists with their CRM is still a manual, painstaking process. “You need a PhD as a marketer just to upload an audience list,” remarked Ronan. “It’s arduous and it stops us progressing as a business, and it would be solved quickly if we had a native integration with the platform.”
Ronan emphasised the limits of a traditional tech setup, and the need for an API-first tech approach. By using a more adaptive, modular tech stack, it’s much easier to share data between your systems. As he put it, “One system very rarely can do it all,” and trying to do so often creates more problems than it solves.
But it’s not all bad news. Ronan also highlighted where things are working for their team – like their integration between their CRM and Scribeless, a tool which automatically sends handwritten notes to their clients. The handy integration allows the team to add a personal touch to their customer service at scale, without increasing their manual work. No exporting CSVs or endlessly uploading contact lists required – just a seamless, automatic sync between the two systems, which gets the job done. Ronan’s example is a testament to the fact that properly connecting the right tools doesn’t just save time, but also elevates the entire customer journey.
Ronan’s advice for anyone starting the journey? You don’t need to revamp your entire tech stack overnight. Begin by replacing one system at a time and putting links between your systems incrementally. Plus, thanks to handy tools like Zapier, many connections can be made without the need for a developer!
To wrap up the session, Alisdair Luxmoore showcased a real-world example of seamless integration in action – between high-end tour operator Fleewinter and the Vamoos Travel App, facilitated by Spark Travel.
Rather than uploading content twice, in both their reservation system and Vamoos, Fleewinter’s trip content is handled only once, in Spark’s portal. Thanks to its API-first design, the handy integration effortlessly shares imagery, itinerary details and property information between systems, cutting down the manual work drastically for tour operators like Fleewinter. Forget double-entering information – Spark’s integration enables trip proposals to be created in a fraction of the time, with less admin and zero duplication for Fleewinter.
